Stop chasing clients for onboarding documents
Your agency has won the work. Now the start date slips while you chase a logo, an answer or an approval. Find the bottleneck before adding another subscription.
For small agencies collecting client content, documents and approvals. Updated 25 October 2026.
Start with the process checklistWhere does collecting client information go wrong?
Look at your last three client starts. Write down the first missing item, the days it held up work and the time your team spent following up. Count actual follow-up time separately from calendar delay.
- Clients do not respond
- Check whether the request is understandable, has a named owner and works without account or permission problems.
- Files keep arriving wrong
- Show an example, state the format and explain who accepts or rejects each item.
- Your team copies everything
- Write down where your team copies the approved information. You may need a connection between your tools.
Try this with your current tools first
One request
Put the exact files, answers and examples in one checklist. Separate what blocks the project from what can arrive later.
One owner
Name the person on each side who can answer questions and approve the submitted information. An automated reminder cannot resolve unclear ownership.
One place to respond
Use a client-accessible form or folder you already have. Test it as an external client before sending it.
A clear finish
Show what is missing, when it is due and what counts as accepted. Agree what happens to the start date if an essential item is late.
Use the checklist for the next client start. If it removes the bottleneck, keep it. If reminders, approvals or copying still consume time, you have a specific job for software to do.
Check that the tool can do the job
Use a dummy client and non-sensitive sample files. Run the same test with each product before moving real client information.
- Can a client open the request, save progress and finish it comfortably on a phone?
- Can your team see missing items, send reminders and reject one incorrect answer without restarting everything?
- Can accepted files reach your existing project or storage system? Check the required plan and integration costs.
- Can you export the work and remove a client when the project ends? Check retention, access controls and the terms for your data.
- Does the actual plan cover the people who need access, simultaneous client requests, storage and expected usage? Compare monthly payment with annual cash due, plus tax and setup.
When a tool needs changing
If a tool cannot connect to another system or do one task you need, describe what is missing before replacing it. Its builder may be able to make the change. Work across several tools may need a separate engineer.
Distro can review your request. Tell us the current steps, the cost of the delay, the result you need and what would count as a successful fix. Do not include client documents, passwords or other sensitive data.
Ask about changing a toolSubmitting a request does not book a provider or take payment. Agree who can help, what they will do and any fees before paid work starts.
